Module 6 · Communicating with School + Ops

Module 6 of 8 · Communication

Be clear, honest, and easy to work with

Your goal: route questions correctly, act on feedback, and keep the right people informed.

Choose the right channel

  • Routine program questions: post in your assigned Slack group channel so the team can coordinate. Do not DM individual team members.
  • Access or onboarding: email onboarding@kodely.io.
  • Urgent safety or supervision: contact designated site staff immediately and use Kodely’s urgent escalation procedure. Do not wait for a Slack reply.
  • Sensitive student information: share only with authorized staff using the approved confidential reporting route—not a general group channel.

Use a useful update

Site + session + what happened + what you did + what you need. Keep it factual. Ask for acknowledgment when the issue needs action.

For a question outside your role: “I want to make sure you get an accurate answer. I’ll send this to our team and confirm the next step.” Do not guess about billing, staffing, or other students; do not promise a response deadline you cannot ensure.

When you receive feedback

  1. Listen without interrupting or blaming.
  2. Repeat the requested change to confirm understanding.
  3. Make the safe adjustment within your role.
  4. Report unresolved needs to operations and follow through.

Being professional never requires hiding a safety problem, misrepresenting supplies, or withholding information needed to keep children safe.

Before leaving, check in with site staff about the session and next steps. Complete the required feedback report within the existing reporting deadline. Urgent concerns must be escalated immediately, not saved for that report.

Pause and practice

A coordinator asks about a missing supply, and you do not know when it will arrive. What should you say?

Check your response

Give a truthful, brief answer and explain the safe plan for today. Route the delivery question to operations and follow up. Do not say “we have everything” if that is untrue.

Before marking this lesson complete: explain the response in your own words. If anything is unclear, ask onboarding@kodely.io before continuing. The practice reveal itself is not a scored answer or a recorded signature.
